Stronger boundaries, smoother events: New event management controls

Leading a community is as much about protecting the experience as it is about creating it. Whether you’re hosting a 30 hikers or a 300 runners, the right boundaries keep conversations constructive, attendance manageable, and everyone feeling safe to participate.
Now Heylo has three new ways to help leaders set those boundaries—so you can stay focused on the moments that matter.
1. Restrict event chat to admins and hosts
Sometimes the conversation needs to stay between the people running the show. With chat restrictions, you can:
- Share behind-the-scenes details (like last-minute route changes) without cluttering the main feed.
- Keep sensitive information—think volunteer phone numbers or vendor contacts—visible only to trusted leaders.
- Turn the chat back on for everyone with a single tap when you’re ready to open the floor.
2. Hide the registration list
Not every attendee wants their name on display. Now you can:
- Protect member privacy by limiting who can see who’s registered.
- Reduce social pressure (“Everyone else signed up, I guess I should too…”) and encourage genuine RSVPs.
- Create an air of exclusivity for special events—great for paid workshops or invite-only gatherings.
3. Control who can check-in
Attendance records are powerful when they’re accurate. With check-in restrictions, leaders can:
- Prevent “I-was-there” check-ins from no-shows, keeping your stats—and member milestones—honest.
- Ensure perks tied to attendance (like role upgrades or merch rewards) go to the right people.
- Speed up on-site lines by delegating check-in permission to trusted helpers only.
How to enable the new controls
- Open your event in the Heylo app or on web.
- Tap the top right, then “Edit.” Under “Advanced, you’ll see new toggles to manage visibility. Or, head to your group settings from the group tab, and see “Permissions”
- Choose the level of restriction
- Publish—or edit anytime. Your changes take effect immediately and can be adjusted as your event evolves.
